18 Fore Five Terms and Conditions

1. About These Terms

These terms govern the 18 Fore Five organiser reward programme operated by Elite Golf Holidays Ltd.

By making a qualifying booking as the named lead organiser, you agree to these terms.

Your golf holiday booking remains subject to the Elite Golf Holidays booking terms and conditions.

2. Programme Operator

References to “EGH”, “we”, “us” and “our” mean Elite Golf Holidays Ltd.

3. About 18 Fore Five

18 Fore Five rewards customers who organise qualifying group golf holidays directly with EGH.

A qualifying organiser receives one £500 booking credit after reaching a completed total of 18 qualifying golfers.

The £500 credit applies towards a new qualifying EGH group golf holiday.

18 Fore Five is not a competition, prize draw or cash reward.

4. Eligibility

The programme is open to UK residents aged 18 or over.

To participate, you must:

  1. Book a qualifying group golf holiday directly with EGH.
  2. Be named as the lead organiser when the booking is confirmed.
  3. Provide accurate contact and booking information.
  4. Comply with these terms and the EGH booking terms and conditions.

Only one lead organiser is permitted for each booking.

A booking cannot be divided between several organisers.

The named organiser cannot be changed after travel unless EGH approves the change in writing following exceptional circumstances.

EGH employees, contractors and their immediate families are excluded.

5. Automatic Tracking

There is no separate registration process.

When you book directly with EGH as the named lead organiser, we will automatically record the eligible golfers connected with your booking.

Qualifying golfers are added to your total after:

  1. The group completes its holiday.
  2. The relevant booking balance has been paid in full.
  3. Any cancellations, refunds, chargebacks or booking amendments have been processed.

You are responsible for ensuring you are correctly named as the lead organiser before the booking is confirmed.

6. Qualifying Bookings

A qualifying booking must:

  1. Be made directly with EGH.
  2. Be confirmed on or after the effective date of these terms.
  3. Name the participant as the lead organiser.
  4. Include a golf holiday arranged by EGH.
  5. Be paid in full.
  6. Be completed by the travelling group.

Bookings made through another travel company, agent or intermediary do not qualify.

EGH may agree in writing to include an earlier booking, but no earlier booking qualifies automatically.

7. Qualifying Golfers

A qualifying golfer is a traveller who:

  1. Appears on an eligible EGH booking connected with the named organiser.
  2. Pays the full amount due for their place.
  3. Completes the booked golf holiday.
  4. Is not travelling through a complimentary, free-place, staff or similar arrangement.

The organiser counts as a qualifying golfer when the organiser pays the normal amount due and completes the holiday.

A traveller counts once for each separate qualifying holiday they complete.

Cancelled travellers, refunded places, complimentary places, unpaid places and no-shows do not count.

8. Building Your 18-Golfer Total

Your qualifying golfers may come from one or several eligible group golf holidays.

Each qualifying golfer remains on your total for 24 months from their holiday return date.

Once the 24-month period ends, that golfer is removed from your total.

Your total must contain 18 unexpired qualifying golfers at the same time for you to earn the £500 credit.

When your total reaches 18:

  1. One completed block of 18 is removed from your running total.
  2. Any additional qualifying golfers carry forward towards your next reward.
  3. Each carried-forward golfer keeps their original return date and remaining qualifying period.

The rolling 24-month period does not restart when a golfer carries forward.

9. Confirming Your £500 Credit

The £500 credit is earned after:

  1. Your 18th qualifying golfer completes their holiday.
  2. All related booking balances have been paid.
  3. No unresolved cancellation, refund, chargeback or payment dispute exists.
  4. EGH has checked the relevant booking records.

We will confirm the credit by email.

The confirmation email will state:

  1. The credit issue date.
  2. The £500 credit value.
  3. The redemption deadline.
  4. Any booking reference connected with the reward.

10. Using Your £500 Credit

The credit must be used on a new qualifying EGH group golf holiday.

The new booking must:

  1. Be made directly with EGH.
  2. Name the credit holder as the lead organiser.
  3. Include the credit holder as a travelling member of the group.
  4. Include at least eight paying travellers, including the organiser.
  5. Be confirmed within 12 months of the credit issue date.

The holiday may take place after the 12-month redemption deadline, provided the booking is confirmed before the deadline.

An enquiry, provisional quotation or unconfirmed reservation does not count as confirmation.

The normal EGH deposit and payment schedule still applies.

11. How the Credit Is Applied

The £500 credit first reduces the organiser’s personal share of the new booking.

If the organiser’s personal share is less than £500, the remaining credit reduces the outstanding group booking balance.

The credit does not create a cash refund.

The credit cannot be applied retrospectively to money paid before EGH accepts the redemption request.

Only one £500 credit applies to each qualifying group booking.

Several credits cannot be combined on one booking unless EGH agrees otherwise in writing.

12. Credit Exclusions

The credit does not apply to:

  1. Flights.
  2. Travel insurance.
  3. Purchases made separately from the EGH booking.
  4. Bookings made through another travel company, agent or intermediary.
  5. Bookings receiving partner commission, referral commission or another commercial payment.
  6. Another organiser reward or promotional credit unless EGH agrees otherwise in writing.

EGH does not sell flights.

13. Cancellations and Refunds Before a Reward Is Issued

A traveller who cancels, receives a refund, fails to pay or does not travel stops qualifying.

The traveller will not be added to the organiser’s total or will be removed if previously recorded.

If a booking amendment reduces the number of qualifying golfers, only the final number of fully paid travellers who complete the holiday will count.

14. Changes After a Reward Is Issued

If a reward was issued using a traveller who is later removed because of a refund, chargeback, payment dispute or booking correction, EGH may:

  1. Suspend the credit while the matter is reviewed.
  2. Correct the organiser’s qualifying total.
  3. Withdraw an unredeemed credit where the organiser no longer has 18 qualifying golfers.
  4. Recover the credit value from an outstanding booking balance where the credit has already been applied incorrectly.

EGH will explain any correction or withdrawal in writing.

15. Cancelling a Reward Booking

If the booking receiving the £500 credit is cancelled, the credit will not be refunded in cash.

Whether the credit returns to the organiser’s reward account depends on:

  1. The EGH cancellation terms applying to the booking.
  2. The stage at which the booking is cancelled.
  3. Whether the credit has already been used against cancellation charges or supplier costs.

If the group falls below eight paying travellers, the booking no longer qualifies for the credit.

EGH will confirm whether any credit has been reinstated and the revised redemption deadline.

16. Transfers and Cash Value

The credit belongs to the named organiser.

The credit is personal to the organiser and cannot be:

  1. Transferred.
  2. Sold.
  3. Auctioned.
  4. Exchanged.
  5. Withdrawn as cash.
  6. Used by another person.

The organiser must not advertise or offer the credit for sale.

17. Partner and Referral Bookings

A booking receiving partner commission, referral commission or another commercial payment does not qualify for 18 Fore Five.

A registered EGH partner must choose between:

  1. The applicable partner reward or payment.
  2. The 18 Fore Five organiser reward.

The choice must be made before the booking is confirmed.

The same travellers or booking cannot qualify for both programmes.

18. Booking Records and Total Updates

EGH’s booking, passenger, payment and travel records determine the qualifying golfer total.

We will use the information recorded against the booking when calculating the total.

You must tell us promptly if:

  1. You believe the named organiser is incorrect.
  2. Your contact details change.
  3. A booking is missing from your total.
  4. The recorded number of completed golfers appears incorrect.

Any dispute about a total should be raised within 30 days of receiving the relevant update.

We will review the booking records and provide a written response.

19. Misuse of the Programme

EGH may remove golfers, cancel a credit or close an organiser’s programme record where we reasonably identify:

  1. False or misleading information.
  2. Duplicate claims.
  3. Artificially divided bookings.
  4. Manipulation of passenger or payment records.
  5. Fraudulent activity.
  6. The sale or attempted transfer of a credit.
  7. Conduct intended to defeat the programme rules.

We will review the available evidence before taking action and explain our decision in writing.

This section does not affect your statutory rights.

20. Programme Changes

EGH may update these terms where reasonably required because of:

  1. Changes to the programme.
  2. Changes in law or regulation.
  3. Fraud prevention requirements.
  4. Operational or technical requirements.
  5. Circumstances outside EGH’s reasonable control.

Changes will not remove a valid credit already earned.

Material changes will be published on the EGH website.

Qualifying bookings confirmed before a change will continue under the terms applying when the booking was confirmed, unless a change is legally required.

21. Programme Closure

18 Fore Five is an ongoing programme with no scheduled closing date.

EGH may close the programme to new qualifying bookings by publishing notice on its website.

Qualifying bookings confirmed before the published closure date will continue under the terms applying when they were confirmed.

A valid credit earned before closure will remain available until its stated redemption deadline.

22. Personal Information

EGH will process personal information to:

  1. Manage bookings.
  2. Identify the named organiser.
  3. Record qualifying golfers.
  4. Calculate organiser totals.
  5. Issue and administer credits.
  6. Prevent fraud and misuse.
  7. Respond to questions and disputes.

Personal information will be handled under the EGH Privacy Policy and applicable UK data protection law.

Participation in 18 Fore Five does not provide consent for unrelated electronic marketing.

23. Standard Booking Terms

The EGH booking terms and conditions apply to every golf holiday booking.

These programme terms govern the calculation and use of the 18 Fore Five reward.

Where these terms conflict with the standard booking terms:

  1. These terms govern the reward.
  2. The standard booking terms govern the golf holiday, payments, amendments, cancellations and travel arrangements.

24. Liability

Nothing in these terms excludes or limits liability where exclusion or limitation is prohibited by law.

EGH is not responsible for delays in recording or confirming a reward caused by:

  1. Incorrect or incomplete booking information.
  2. Incorrect contact details.
  3. An unresolved payment or booking dispute.
  4. Circumstances outside EGH’s reasonable control.

EGH remains responsible for performing its obligations with reasonable care and skill.

25. Severability

If any part of these terms is found to be invalid or unenforceable, the remaining terms will continue to apply.

26. Waiver

If EGH does not enforce a term immediately, this does not prevent EGH from enforcing it later.

27. Third-Party Rights

A person who is not the named organiser or EGH has no right to enforce these programme terms under the Contracts (Rights of Third Parties) Act 1999.

28. Governing Law and Jurisdiction

These terms are governed by the laws of England and Wales.

The courts of England and Wales have jurisdiction, subject to any mandatory consumer right allowing a resident of another part of the United Kingdom to bring proceedings in their local courts.
